Overview

Client Overview

An in-house recruitment operation whose hiring workflow had outgrown its tooling. Postings lived in one place, applications arrived by email with no single home, and booking an interview meant back-and-forth messages and manually pasted meeting links. Nothing could answer the basic question — how many candidates are in screening right now?

Challenge

Business Challenge

The situation before the engagement, in the client's terms.

Recruitment operations ran on inboxes and spreadsheets — postings lived in one tool, applications in another, and interview booking was email ping-pong.

  • 01

    Applications scattered

CVs and cover letters arrived by email with no single place to review a candidate.

  • 02

    No shared pipeline

Nobody could see how many candidates sat in screening, interview or offer stages.

  • 03

    Booking by email

Scheduling interviews meant back-and-forth messages and manually pasted meeting links.

  • 04

    Inconsistent submissions

Free-form applications made it hard to compare candidates against the same questions.

Objectives

Engagement Objectives

What the build needed to achieve before implementation began.

  • Give admins and candidates two distinct, focused workspaces in one app

  • Keep every applicant's materials in a single reviewable dossier

  • Make scheduling an interview a two-click task with a meeting link

  • Turn applications into a structured flow so candidates can be compared fairly

  • Show the whole pipeline at a glance in reports and dashboards

Solution Design

How We Solved It

The approach that addressed each challenge above.

One product, two workspaces. The admin side owns the hiring pipeline end to end; the candidate side makes applying and tracking progress a structured, guided flow.

  • 01

    Workspace separation

Route groups split admin and candidate experiences while sharing the same UI primitives.

  • 02

    Structured job postings

Jobs carry department, location, type and salary, so listings stay consistent and searchable.

  • 03

    Dossier-per-applicant review

Each applicant opens to tabs for personal information, resume, cover letter, screening answers and notes.

  • 04

    One-flow scheduling

Interviews scheduled with platform selection and a meeting link, all recorded against the applicant.

A Closer Look

Screens from the delivered system.

  • Admin hiring analytics dashboard
Hiring analytics — applicant, job and hire figures with charts at a glance.
  • Applicants pipeline table with status badges
The applicant pipeline — every candidate tracked with a clear status.
  • Candidate job board with search and filters
The candidate job board — search, filter and apply from one place.

Conclusion

The Result

Recruiters now run the whole cycle from one workspace: publish a job, review a complete applicant dossier, attach a meeting link and move the candidate through the pipeline. Candidates get a guided application flow and a dashboard that shows exactly where they stand — no more chasing status by email.
